Manager Guide
The manager dashboard is your command center for all property operations.
Dashboard
At a glance, your dashboard shows:
- Occupancy Pressure — Current occupancy levels and upcoming arrivals/departures
- Staffing Coverage — Who is on shift, on break, or off duty
- Review Queue — Pending quality reviews needing your attention
- Assignment Risk — Overdue or at-risk tasks
- Live Shifts — Active housekeeper shifts in real-time
- Work Summary — Task completion rates and totals
- Recent Activity — Latest operational events
Occupancy Management
The Occupancy page is your main control surface:
- View all rooms and beds with current status
- See arrivals and departures for any date
- Manage the full stay lifecycle (book, check-in, check-out)
- Update bed states (vacant/occupied)
- Assign tasks manually
- Trigger checkout-driven work
Activity Timeline
The Activity page shows a unified timeline of everything happening:
- Guest stays and status changes
- Housekeeping work completed
- Operational events (automation triggers, shift changes)
- Automation output (trigger executions)
Use this for audits, handovers, and understanding what happened when.
People Management
Adding People
- Go to People
- Tap Add Person
- Enter name, email, phone, and select role
- Assign them to a property
- Submit — they receive credentials
Managing Access
- Freeze — Temporarily suspend access without removing the person
- Restore — Reactivate a frozen account
- Offboard — Permanently remove access
- Reset Password — Send a password reset email
- Copy Access — Duplicate property memberships from one person to another

Task Configuration
Task Types
Define what kinds of work exist at your property:
- Create task types with names and descriptions
- Archive or toggle unused types
- Attach task standards with guidance text and media references
Task Rules
Automate task creation based on occupancy:
- Link task types to stay events (checkout, stayover)
- Toggle rules on and off
- Rules generate tasks automatically when conditions are met
Periodic Tasks
Set up recurring maintenance schedules:
- Define frequency (daily, weekly, monthly, custom)
- Set visibility windows (when the task appears in the queue)
- Track completion history
- Overdue periodic tasks are flagged

Create event-driven workflows that automatically generate work. See the Trigger Automation feature guide for details.
Quality Reviews
Conducting a Review
- Go to Quality Reviews
- Select a completed task to review
- Score the work (1–5)
- Add feedback and evidence (photos, videos, voice notes)
- Set the inspection gate: Pass or Fail
Rework
If a review fails, the task is reopened for rework. The housekeeper sees it again in their queue with the review feedback attached.

Housekeeper Report
Individual and team performance data:
- Tasks completed per housekeeper
- Time spent vs. budget
- Quality scores
Task Time Analytics
Detailed time analysis:
- Average completion times by task type

- Time extension tracking
Activity Timeline Report
Printable or exportable timeline of all events over a date range.
Task Time Extensions
When a task takes longer than expected, grant a Time Extension. Extended time is excluded from baseline averages, keeping performance metrics fair.
Lost & Found
Full management of lost items:
- View all reported items
- Manage claims
- Track resolution status
Task Suggestions
Review housekeeper-submitted task suggestions:
- Approve to automatically create the task
- Reject with feedback
- Track suggestion history
Configuration
Property Options
Configure lists used throughout the app:
- Space types (private room, dorm, common area)
- Reason categories (for other work, maintenance, etc.)
- Any custom option lists your property needs

Map your PMS room codes to LodgeBeam spaces for occupancy ingest. See the PMS Integration guide.
